How to boost your customer review conversion rate
A good conversion rate means more positive reviews, a stronger online reputation, and ultimately… more sales. Here's how to take your conversion rate to the next level.
Perfect timing: not too early, not too late
The golden rule: give your customers enough time to try the product, but not enough to forget about it!
Recommended trigger moments:
- After payment: to quickly kick off the customer relationship
- After shipping: the most common and often the most effective
Optimal delay for the first send: 1–3 days after the announced delivery date.
Why this timing works:
- The customer can evaluate the buying experience (payment, delivery, packaging)
- You quickly detect issues (lost parcel, broken product…)
- The purchase is still "fresh" in their mind
Watch out for delivery delays! If you often have shipping delays, don't leave too much time before sending the request: frustrated customers may complain directly on Trustpilot or Google before even receiving your review request. The solution: schedule the request 1–3 days after the promised delivery date given to the customer.
Content that makes people want to reply
The basics:
- Short, clear, action-oriented
- Personalized and catchy email subject line
- On WhatsApp: add an image to grab attention and build trust
Humanize your messages — customers want to talk to a real person.
❌ "The [Company] team thanks you…"
✅ "This is Marie from [Company], I hope you enjoyed your order!"
Simple tip: sign your messages ("Marie, founder of [Company]").
Choose the angle based on timing:
- First message → focus on the buying experience: "How was your order?"
- Follow-ups → focus on the product: "Are you satisfied with your [product]?"
Example – Food supplements: Day 3 "How was your supplement order?" then Day 18 "Are you already feeling the benefits of your supplements?"
Give it meaning:
- "Your review will help other customers make the right choice"
- "Your feedback helps us improve every day"
- "Together, let's build a community of satisfied customers"
Reassure with simplicity:
- "Just 30 seconds ⏱️"
- "Only 3 clicks"
- "As easy as saying hello"
Stay consistent: use the same tone as in your newsletters and usual communications — customers should recognize your brand's voice.
Vary your messages: avoid copy-paste, switch angles between each send.
Example – Clothing store:
- Day 3 (WhatsApp): "Hi! Emma from StyleShop 👋 How was your order?"
- Day 5 (Email): subject "Your review on your new outfit?" → "Hello! Have you had a chance to wear your new clothes? We'd love to hear your feedback!"
- Day 15 (Email): subject "Your review really matters to us 🙏" → "Hi, after a few days with your new outfit, do you have a review to share? Your feedback helps us improve and guides future customers."
The right channel at the right time
The winning strategy: WhatsApp first (unbeatable open rates), email next (perfect for cost-effective follow-ups).
Recommended sequence:
- Initial message (WhatsApp) → Day 2 after scheduled delivery
- 1st follow-up (Email) → 1–2 days after the WhatsApp
- 2nd follow-up (Email) → around Day 15 if the product requires usage time
If a customer doesn't have WhatsApp, Review Collect automatically switches to email or SMS: no review lost.
Strengths of each channel:
- WhatsApp: highly personal, record-high open rates, fixed cost (no matter the message length or image)
- Email: cost-effective, ideal for follow-ups and more detailed content
- SMS: almost always read, but expensive if long or with emojis
Best sending times:
- Email: 9–11 AM (morning coffee) or 2–4 PM (afternoon break)
- WhatsApp / SMS: 12–2 PM (lunch break) or 5–8 PM (end of the day)
Adapt to your audience: these methods work best in most cases, but every audience has its own habits. Adjust your channels and messages according to your customers and brand image.
Tracking and continuous optimization
Monitor your performance in your Review Collect Dashboard:
- Global conversion rate: your main KPI
- Rate per message: initial message, follow-up 1, follow-up 2
- Evolution over time: are your results improving?
Key questions to ask:
- At which step do customers drop off the most?
- Is my first message performing well?
- Do my follow-ups add value?
- Are my messages adapted to my target?
Simple optimization — if you see a performance drop at a specific step, adjust that first:
- Weak initial message → review timing or content
- Ineffective follow-ups → change approach or spacing
- Overall drop → check alignment with your brand image
Time to take action! Start by analyzing your current performance in the Dashboard, identify your top improvement point, and run your first test. Optimization is a marathon, not a sprint: test, measure, adjust, repeat.
